Information We Collect

Account Information

When you create an account on either the Rankly platform or to save extension reports, we collect:

  • Email Address: Used to identify your account and for communications
  • Name: Your first and last name (optional)
  • Company Name: Your organization name (optional)
  • Authentication Data: If you sign in with Google, we receive your Google account ID and profile information

Rankly Platform (app.tryrankly.com)

When you use our AEO analytics platform, we collect:

Website Analysis Data:

  • URLs: Website URLs you submit for analysis
  • Brand Context: Your brand name, industry, and value propositions
  • Website Content: Publicly available content scraped from URLs you submit (for analysis purposes)
  • Topics & Personas: The search topics and user personas you select for analysis
  • Competitors: Competitor brands you choose to track

AI Analysis Data:

  • Generated Prompts: AI-generated search queries used to test your brand visibility
  • LLM Responses: Full responses from AI models (OpenAI, Claude, Gemini, Perplexity, Grok, Poe) when testing prompts
  • Visibility Metrics: Calculated scores including brand mentions, positioning, sentiment, and citations
  • Citation Data: URLs and sources referenced in AI responses

Usage & Billing Data:

  • API Usage: Token counts, response times, and associated costs for AI API calls
  • Subscription Status: Your plan tier and billing cycle
  • Payment Information: Processed securely by Stripe; we do not store your credit card details

Third-Party Integrations:

  • Google Analytics: If you connect your GA4 account, we store OAuth tokens to access your analytics data

Query Fanouts Chrome Extension

The Query Fanouts extension captures the following data when you actively choose to start a capture session on ChatGPT:

  • Search Queries: The search queries that ChatGPT generates when performing web searches to answer your questions
  • Citations: URLs and metadata of sources that ChatGPT references in its responses
  • Product Data: Product information when ChatGPT displays shopping recommendations, including product names, prices, and merchant details
  • Search Context: Geographic location context (UULE codes) and language settings associated with search queries. This is metadata from ChatGPT's search requests, not your personal location

Important: We do not capture your personal prompts or the content of your conversations with ChatGPT. We only capture the search queries that ChatGPT generates internally.

How We Use Your Information

We use the collected information for the following purposes:

  • To provide and operate our analytics services
  • To analyze your brand's visibility across AI search engines
  • To generate insights, recommendations, and actionable reports
  • To display captured data in dashboards and reports
  • To save and retrieve your analysis history
  • To provide export functionality (CSV/JSON downloads)
  • To process payments and manage subscriptions
  • To communicate with you about your account and our services
  • To improve our services and understand usage patterns

Data Storage

Local Storage (Extension Only)

For the Chrome extension, captured data is initially stored locally in your browser using Chrome's storage API. This data remains on your device until you choose to clear it or close the capture session.

Server Storage

Platform data and saved extension reports are stored on our secure servers using MongoDB Atlas, hosted on reputable cloud infrastructure with encryption at rest and in transit.

Third-Party Services

We use the following third-party services to operate our platform:

  • AI/LLM Providers: OpenAI, Anthropic (Claude), Google (Gemini), Perplexity, xAI (Grok), and Poe — to test prompts and analyze responses
  • OpenRouter: API gateway for accessing multiple LLM providers
  • Stripe: Payment processing (we do not store your payment card details)
  • Google OAuth: For sign-in and Google Analytics integration
  • MongoDB Atlas: Database hosting
  • SendGrid: Email communications

Each of these providers has their own privacy policies governing their handling of data.

Data Sharing

We do not sell, trade, or transfer your personal information to third parties.

We may share data only in the following circumstances:

  • With service providers who assist in operating our infrastructure (listed above), under strict confidentiality agreements
  • With AI providers to process your analysis requests (prompts are sent to LLMs to generate responses)
  • If required by law or to protect our legal rights
  • In aggregated, anonymized form for research or statistical purposes

Data Security

We implement appropriate technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. This includes encryption in transit (TLS), encryption at rest, secure authentication, and regular security reviews. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your data as follows:

  • Account Data: Retained while your account is active and for a reasonable period after deletion for legal compliance
  • Analysis Data: Retained while your account is active to provide historical tracking and trend analysis
  • Extension Data (local): Stored only in your browser until you clear it
  • Extension Reports (saved): Retained while your account is active

Your Rights
